    Come join a friendly and diverse clinical team that provides quality care! Community Healthlink (CHL) is looking for a part-time (20 hrs/wk) Administrative Assistant at our Worcester site.

     

    Families and Communities Together (FCT) seeks to build on family strengths and available support systems to help children with serious emotional disturbance remain in or return to their communities.  FCT staff works with the family, child, appropriate state agencies and school staff to develop strategies that help improve child and family functioning.

     

    The Administrative Assistant provides comprehensive administrative support to the FCT program.  Duties include: ordering and purchasing of all capital and program equipment and supplies, registration and tracking of youth enrolled in the program in the CHL CareLogic MIS system,  submit invoices to accounts payable department, monitor client insurance status and insurance authorizations, and staff the front desk (greeting the public, answering phones).

    Responsibilities

    GENERAL DUTIES:

     

    • Provide comprehensive administrative support to the FCT program. 
    • Ordering and purchasing of all capital and program equipment and supplies
    • Collection, tracking, and data entry for all Staff Service Activity Logs (SALs)
    • Registration and tracking of youth enrolled in the program in the CHL CMHC MIS system
    • Submit invoices to accounts payable department
    • Monitor client insurance status and insurance authorizations
    • Staff the front desk (greeting the public, answering phones). 

     

    MAJOR JOB COMPETENCIES:

    • Demonstrate skills necessary to provide support to all program components (word processing, spreadsheet preparation, basic bookkeeping and expense tracking, data entry)
    • Effective communication with families, peers, and other professional and support staff.
    • Perform data entry and Staff Service Activity Log (SAL) detail in CMHC MIS Program.
    • Monitor and track enrolled youth insurance status and authorizations 

     

    SPECIFIC DUTIES

    • Collect and enter all SAL information for FCT staff. 
    • Register and discharge youth in the CHL CMHC MIS system. 
    • Monitor insurance status and insurance authorizations and notify ICC Director with any lapses in either insurance eligibility or authorization for all FCT enrolled youth. 
    • Assist with all data collection and tracking as needed by FCT management staff 
    • Oversee the ordering and purchasing of all capital and program equipment and supplies, including the processing of all accounts payable paperwork for such purchases. 
    • Answer the FCT main phone line in a courteous and helpful manner.  Greet members of the public at the front desk in a courteous and helpful manner.
    • Provide comprehensive administrative support to the FCT management staff  for all duties as assigned

    Qualifications

    • Minimum of a High School Diploma/GED/HiSet; Associates or Bachelor's degree preferred
    • Previous administrative assistant experience.
    • Familiarity with Word processing and Spreadsheet computer software (Microsoft Office, Excel, etc.).
    • Strong interpersonal skills and customer skills. 
    • Good organizational skills.
    • Bilingual in Spanish preferred
    • Must be able to pass a CORI background check
